What Is a Retainer Invoice?

A retainer invoice bills a client for an ongoing arrangement in which they secure your availability, a block of hours, or a defined monthly scope. The client pays whether or not they use every hour, because what they are buying is priority access.

Retainers come in two broad shapes. A capacity retainer reserves a number of hours per month. A scope retainer covers an agreed set of deliverables per month. The invoice should make clear which one it is billing, and what happens to unused capacity.

The two questions that cause every retainer dispute are: do unused hours roll over, and what is the rate for work beyond the retainer? Both belong on the invoice, not just in the agreement.

Common Retainer Invoice Mistakes

Not stating what is included

A bare "Monthly retainer" line means the client decides for themselves what it covers.

No rollover policy

If unused hours are not addressed, clients will assume they accumulate indefinitely.

No overage rate

Work beyond the retainer needs a rate agreed in advance, or it will be billed at the worst possible moment.

Never reporting usage

Clients who cannot see what they got for the retainer are the ones who cancel it.
