What Is a Product Invoice?

A product invoice bills for goods. Each line names an item, identifies it with a code or SKU, and multiplies a quantity by a unit price. Because the buyer can count what arrived, the invoice’s job is to match the delivery exactly.

The detail that causes most friction is not price but identification. When an invoice line says "Blue widget" and the warehouse received item BW-400-XL, reconciliation stops. Product invoices should use the same identifiers as the order and the delivery note.

Descriptions that do not match the order

If the invoice, order, and delivery note describe the same item three ways, nobody can match them automatically.

Missing units of measure

"Quantity: 12" is ambiguous when the item can be sold as a unit, a box, or a pallet.

Discounts applied invisibly

Silently lowering a unit price hides the discount from both parties’ reporting. Show it as a line.

Taxing shipping incorrectly

Whether delivery charges are taxable, and at what rate, varies by jurisdiction and by what is being shipped.
