What Is a Final Invoice?

A final invoice closes a project. Its job is not just to bill the last amount but to reconcile the whole engagement: total agreed value, everything already invoiced and paid, adjustments and change orders, and the balance now due.

This is the document a client checks most carefully, because it is the last chance to query anything. A final invoice that simply says "Balance due" without showing the arithmetic will be held up while the client reconstructs it themselves.

It is also where deposits, interim invoices, milestone payments, and retentions all have to land correctly. Every earlier payment should appear as a deduction with its invoice number attached.

The single most damaging error on a final invoice: bill the full contract value again and you have appeared to overcharge.

Introducing new charges without warning

Change orders should have been agreed as they arose. A final invoice is a bad place to surface them for the first time.

No reconciliation summary

Without a total/paid/remaining breakdown, the client has to rebuild your billing history to approve the invoice.

Forgetting retention

Retention released or still held has to be shown, or the balance will not agree with the contract.
