What Is an Interim Invoice?

An interim invoice bills for part of a job while the job is still running. It is also called a progress invoice or a stage payment invoice, and it exists so that long projects do not force the supplier to fund months of work out of their own pocket.

Each interim invoice covers a defined slice — a period, a stage, or a percentage of completion — and states what has been billed so far and what remains. The running total is what keeps everyone oriented.

Interim invoicing overlaps with milestone invoicing. The practical difference is the trigger: interim invoices are usually periodic (monthly, or per stage of work), while milestone invoices are tied to a specific deliverable being accepted.

  • Work completed in this period, described in specifics

Common Interim Invoice Mistakes

No running total

Without cumulative-to-date and remaining figures, neither side can tell whether billing is tracking the budget.

Vague progress descriptions

"Ongoing work" gives an approver nothing to approve. Say what was completed in the period.

Billing ahead of progress

Invoicing 60% when 40% is done is the fastest way to have every future invoice scrutinised.

Ignoring retention

If the contract holds back a percentage until completion, the invoice has to show it or the balance will not agree.
